Enhanced items represent existing features that have been improved to enhance the customer experience.

Manage Assignments

The ‘Manage Assignments’ page includes two new enhancements that will streamline your workflow and facilitate collaboration. The page has been enhanced to include methods to copy and share assignments, making it easier than ever to duplicate assignments and share them with other instructors at your organization. These improvements are designed to save you time and effort, allowing you to focus on what truly matters – delivering quality assessments.

Copy Assignment

Note: Only assignments on the published or closed tabs can be copied. Since assignments on the draft tab are not in a final state, they must be published or closed before they can be copied.

To copy an assignment, perform the following steps.

  1. On the ‘Manage Assignments’ page, from either the published or closed tab, click on the three-dot, vertical ellipses next to the desired assignment, then click the ‘Copy Assignment’ option. The following modal is displayed.

The assignment is copied and is listed on the ‘Drafts’ tab at the top. The assignment title is appended with the word ‘(copy)’ so it can be easily identified.

  1. To modify and publish the copied assignment, click the assignment name to open it. The copied assignment opens to the ‘Configure Assignment’ page.

The following table describes the fields on the ‘Configure Assignment’ page that are copied forward automatically and the fields that must be completed before publishing.

Description

Assignment Name

The assignment name is carried forward and appended with the word ‘(copy)’. When a copy of an already copied assignment is copied again, the name of the assignment will display as ‘name (copy) (copy)’.

Assignment Description

The assignment description is carried forward. If desired, it can be modified.

Assignment Type

The assignment type is carried forward. Assignment types include:

  • Timed

  • Tutor

  • Untimed

If desired, the assignment type can be modified on the copied assignment. When an assignment type is ‘timed’ the ‘Average Time Per Question’ is carried forward and can also be modified.

Question section (not displayed)

Assignment questions are carried forward. If desired, assignment questions can be modified. Click the ‘select questions’ option in the breadcrumb path to remove or rearrange the existing assignment questions or click on the ‘Previous’ button until you get back to the ‘Question Assistant’ / ‘High-Yield Topic Explorer’ page to search for and select new questions, then click the ‘Continue’ button to proceed to the next step where you will select the questions you would like included on your copied assignment.

Assign to Students and Groups

Selections in this section are intentionally not copied forward and must be completed before publishing.

Share with Instructors

Selections in this section are intentionally not copied forward; however, this section is optional and not required for publishing.

Assignment Dates

Start/Due dates and times are intentionally not copied forward and must be completed before publishing.

Allow Retakes?

When an assignment has the ‘allow retakes’option enabled, it is carried forward. If desired, this option can be disbled on the copied assignment.

  1. When all required fields are completed, the assignment can be published; otherwise, the assignment can be saved as a draft.

  1. When the assignment has been published, it displays on the ‘Published’ tab; otherwise, it will continue to display on the ‘Drafts’ tab unless it is deleted.

Share Assignment with Instructors

Instructors can now share assignments they create with other instructors or instructor groups at their organization. This is an existing feature in the Qmax Management application, but it has been added to the new ‘Manage Assignments’ beta experience to facilitate collaboration among instructors during the assignment creation process, allowing them to work together more effectively. Additionally, it enables multiple instructors to gain insights into student analytics as assignments are completed, providing a comprehensive understanding of student performance.

Assignments can be shared with other instructors when an assignment is in any of the following states:

  • Draft

  • Published

  • Closed

Sharing a New or Draft Assignment

To share a newly created assignment, or an assignment that has been saved as a draft with other instructors, perform the following steps.

  1. From the ‘Configure Assignment’ page, in the ‘Share with Instructors’ section, search for and select individual instructors or instructor groups. As instructors and instructor groups are added, you will see a count for the total number of instructors displayed beneath the instructor search section for reference purposes.

When an assignment is shared with other instructors or instructor groups, a ‘shared’ indicator is displayed on the ‘Manage Assignments’ page. When clicked, it displays the ‘Assignment Creator’ (author’s name) and the instructors’ names with whom the assignment was shared.

Note: This indicator is displayed on all tabs: Published, Drafts, & Closed.

When an assignment is shared, it appears on the 'Manage Assignments' page of all instructors involved. These instructors can perform any task related to the assignment, just like the original creator:

  • Copy assignment

  • Add/remove questions

  • Add/remove students

  • Add/remove instructors

  • Modify all assignment settings

  • Publish, save as a draft, and close assignment

  • Delete assignment, only if it has never been published

  • Unpublish the assignment, only when the begin date is in the future

  • View assignment results and analytics

Note: When other instructors log in and see a shared assignment on their ‘Manage Assignments’ page, they will also see a ‘shared’ indicator with the same information.

Sharing a Published or Closed Assignment

To share an assignment that has already been published or closed, perform the following steps.

  1. From either the ‘published’ or ‘closed’ tab on the ‘Manage Assignments’ page, click on the assignment’s name to open it. The ‘Assignment Analysis’ page is displayed.

  1. Click the ‘Share’ button. The ‘Share Assignment with Instructors’ modal is displayed. When the assignment has already been shared with instructors, the instructors’ email addresses are displayed.

  1. To add an instructor, search for and select the instructor’s name. To remove an instructor or instructor group, click the ‘X’ on the desired individual instructor or instructor group name. The total number of instructors with whom the assignment has been shared is displayed beneath the instructor search field.

  2. Click the ‘Save & Close’ button to save the instructors or click ‘Cancel’ to exit without saving.

Note: When an assignment is shared with an instructor or instructor group, all assigned instructors will see the test on their ‘Manage Assignments’ page. When an assignment is unshared it is removed from the page.

New Indicators

New test indicators have been added to the ‘Manage Assignments’ page. These indicators help instructors to quickly identify key configuration choices related to the assignment and display on all three (published, draft, & closed) tabs.

The indicators are:

  • Assignment type. Options include Tutor, Timed, Untimed

  • Retakes Allowed. When displayed, the assignment was created with the ‘Allow Retakes?’ option enabled.

  • Shared. When displayed, the assignment has been shared with other instructors.

Note: When the ‘Shared’ indicator is clicked, it displays the name of the assignment creator along with the names of the instructors with whom the assignment has been shared.
