New

'Manage Pools' Overview

ScholarRx has moved Pool Management into the new Faculty Portal experience. Pool Management is a powerful beta feature that helps you organize, save, and reuse curated sets of questions across your assignments. Create custom collections of questions based on topics, courses, or any criteria you chooseβ€”then quickly access them when building new assignments. You can:

  • Create Custom Pools β€” Build reusable collections of questions with a name and optional description.

  • Edit Pool Details β€” Update pool names and descriptions at any time.

  • Add/Remove Questions – Quickly add or remove questions to a pool.

  • Copy Pools β€” Duplicate existing pools to create variations or starting points for new collections.

  • Delete Pools β€” Remove pools you no longer need.

  • Share Pools β€” Collaborate with colleagues by sharing pools with individual instructors or instructor groups.

Tips

  • Combine pools for comprehensive exams β€” Select multiple pools to search across different topic areas simultaneously.

  • Use descriptive names β€” Name pools by course, unit, or exam type for easy identification later.

  • Check difficulty before adding β€” Use the difficulty indicator to ensure balanced question difficulty in your pools.

  • Watch for usage alerts β€” The orange warning icon shows questions already used in assignmentsβ€”helpful for avoiding repeats.

  • Quick-create pools inline β€” Type a new pool name in the pool selector and press Enter to create it instantly without leaving your workflow.

Known Limitations

  • File uploads: Maximum file size is 10MB per file, with one file attachment at a time.

  • Supported file formats: .txt, .doc, .docx, .pptx, and .pdf files only.

  • Pool names: Must be unique across your account (duplicate names are not allowed unless a pool with the same name is shared with you).

  • Pool name length: Maximum 100 characters.

  • Sharing: Pools can only be shared with instructors and instructor groups within your organization.

Enhanced Question Cards

Each question now displays the following rich contextual information:

  • P-Val β€” See how students have historically performed on each question.

  • Question Bank β€” View which bank the question comes from (Qmax Step 1, Qmax Step 2, or Organization Bank).

  • Difficulty Indicator β€” Color-coded dots show if a question is Easy (green), Medium (yellow), or Hard (red).

  • Assignment Usage β€” See how many assignments already include this question, with links to view each one.

  • Pool Membership β€” View and manage which pools contain the question directly from the question card.

Create New Pool

To create a new pool, perform the following steps.

  1. From the Faculty dashboard, click the β€˜Manage Pools’ menu option. The β€˜Manage Pools’ page is displayed.

If this is the first pool you will create, click the β€˜Get Started Now’ button; otherwise, click the β€˜Create Pool’ button. The β€˜Create New Pool’ modal is displayed.

  1. Enter a pool name (required) and description (optional). Notice the max character limit for each field. When the character limit is exceeded, the number will display in red to alert you.

  2. Click the β€˜Create Pool’ button to save the pool or click the β€˜Cancel’ button to exit without saving. The pool is created and displayed on the β€˜Manage Pools’ summary page.

Search for Questions

There are many ways to search for questions when creating a pool. The following table provides a description for each.

Enter a specific topic to search for related questions.

Discipline

Enter a specific discipline to search for related questions.

Organ System

Enter an organ system to search for related questions.

Question ID

Enter the question ID to search for specific questions. Multiple question IDs can be entered separated by a comma.

Keywords

Enter keywords to search for related questions.

Document Upload

Upload a document to search for related questions.

File uploads: Maximum file size is 10MB per file, with one file attachment at a time.

Supported file formats: .txt, .doc, .docx, .pptx, and .pdf files only.

Bank filters

Select a bank filter to search on all questions within a bank. Note: the search results will return three questions at a time unless you specifiy a different amount in your prompt instructions.

Question filters

Select question filters to search for questions by specific difficulties and status. Options include:

β€’ Difficulty: Easy, Medium, Hard

β€’ Status: All questions, unused only, previously used.

Add Questions to a Pool

You can add questions to a pool from multiple places within the application.

  • From the β€˜Manage Pools’ page

  • During the assignment creation process

  • From the β€˜Assignment Analysis’ page

From the β€˜Manage Pools’ page

To add questions to a pool from the β€˜Manage Pools’ page, perform the following steps.

  1. From the β€˜Manage Pools’ page, click on the pool’s title to open it. The β€˜Pool Detail’ page is displayed.

  1. Search for questions by entering keywords related to specific topics, disciplines, or organ systems, or search for questions within specific questions banks (Qmax 1, Qmax 2, or your Organization bank, if applicable), then click the β€˜Enter’ key to perform the search. Questions related to your search term(s) will be displayed.

Note: You can also use a combination of banks and question filters to refine your search or upload a document to find questions related to the content of your document.

Share button

When clicked, the β€˜Share’ button provides a method to share the pool with other faculty members or faculty groups within your organization. Anyone with whom the pool is shared will have edit rights to the pool.

Note: When a pool is shared, a β€˜shared’ indicator is displayed beneath the pool name on the Pool summary page. A pool can be unshared by clicking the β€˜Share’ button again and unchecking the selected members.

Three-dot menu

Edit Details. When clicked, you can modify the pool’s name and description.

Copy Pool. When clicked, you can make a copy of the pool and modify it. This method saves time when creating pools that are similar.

Delete Pool. When clicked, the pool is deleted.

β€˜Add All’ button

When clicked, the β€˜Add All’ button will add all displayed questions to the pool. This is referred to as a β€˜bulk add’.

Plus sign (left of each question)

When clicked, the individual question is added to the pool.

Color Indicator

Next to each question, there is a colored dot. The color represents the question difficulty.

β€’ Green = easy

β€’ Yellow = medium

β€’ Red = difficult

Drop-down button

On each question, there is a dropdown arrow. When clicked, this expands the question so all sections of the question can be reviewed. This helps the reader determine if the question should be added to the pool.

Within each question, there are also drop- down arrows next to each answer. When clicked, the answer is expanded so it can be reviewed in full.

Topic

Displays the topic related to the question.

Discipline

Displays the discipline related to the question.

Organ System

Displays the organ system related to the question.

ID

Displays the unique question ID.

PVal

This value represents the PVal (difficulty) of the question.

Question Bank

Displays the question bank to which the question is associated.

Create/Search for Pools button

When clicked, this option provides a method to add the question to another pool.

When questions are selected and added to the pool, you are redirected to the β€˜Pool Details’ page where you can perform the following tasks:

Share

Share your pool with other instructors in your organization. When shared, all collaborators will be able to add and remove questions to the pool and create an assignment from questions in the pool.

Note: Only users who are assigned the β€˜Faculty’ role will display in the β€˜Share’ list.

Three dot menu

This menu provides a method to:

β€’ Edit the pool (name and description only)

β€’ Copy the pool

β€’ Delete the pool

β€˜Add Questions’ button

When clicked, the β€˜Add Questions’ button provides a method to add additional questions to the pool being modified.

Filter questions

Enter text to filter questions within the pool.

Remove/Add Questions

While on the Pool detail page, you can remove questions from the pool by clicking on the β€˜-β€˜ (minus sign). You can add additional questions by performing another search and selecting questions from the results.

During the Assignment Creation Process

Did you come across great questions while you were creating an assignment and now you want to add them to a pool? It is easy during the assignment creation process.

To add questions to a pool during the assignment creation process, perform the following steps.

  1. From the β€˜Manage Assignments’ page, create an assignment using either the β€˜Question Assistant’ or β€˜High-Yield Topic Explorer’ option.

  2. When using the β€˜Question Assistant’ option, search for questions by entering terms, topics, or clinical scenarios for your assignment or upload course materials to find questions aligned with your curriculum. When using the β€˜High-Yield Topic Explorer’, expand the desired topic and select the desired questions, then click the β€˜Continue’ button.

  3. On the β€˜Related Questions’ page, click the β€˜Pools’ icon.

  1. Search for or select the pool(s) to add the question or enter a new pool name & hit the β€˜Enter’ key to create a new pool. The question is automatically added to the new pool, and the new pool is displayed on the β€˜Manage Pools’ page.

From the β€˜Assignment Analysis’ page

Questions may be added to a pool from the β€˜Assignment Analysis’ page by performing the following steps.

  1. From the β€˜Assignment Analysis’ page, beneath the β€˜Performance by Question’ section, click the 'Pools' icon.

  1. Search for or select the pools to add the question or enter a new pool name & hit the β€˜Enter’ key to create a new pool. The question is automatically added to the new pool, and the new pool is displayed on the β€˜Manage Pools’ page.

Manage Pools

If you have never created a pool, the β€˜Manage Pools’ page will display as follows.

If you have existing pools, the β€˜Manage Pools’ page will display as follows.

Note: Any pools created in the existing Qmax Management application will automatically be displayed on the new β€˜Manage Pools’ page.

When pools have been shared with you, the β€˜Manage Pools’ page displays multiple tabs:

  • My Pools

  • Shared with Me

Sort Pools

You can sort pools by clicking the β€˜sort by’ icon.

Options include:

  • Name

  • Created Date (default)

  • Question Count

Filter by Pool Name

You can also filter pools by name; a helpful feature when there are multiple pools.

Three-Dot Menu

When managing pools, the three-dot menu provides the following capabilities:

Share Pool

Share pools with colleagues to collaborate and create customized containers of questions that you can then create assignments from.

To share a pool, perform the following steps.

  1. From the pool summary page, click the three-dot menu, then click the β€˜Share Pool’ option. The β€˜Share’ modal is displayed.

  1. In the search field, enter the instructor’s name to search for a specific instructor, select multiple individual instructors, or select an instructor group from the Groups tab. The number of selected instructors or groups is displayed on the tab.

When a pool has been shared, a β€˜shared’ indicator is displayed beneath the pool name.

Enhancements

β€˜Manage Assignments’ Page

When building a new assignment, you can now:

  • Pre-select Pools β€” Choose one or more pools to search within, focusing TAI recommendations on your curated question sets.

  • Filter by Question Banks β€” Narrow results to Qmax Step 1, Qmax Step 2, or Organization Bank questions.

  • Filter by Difficulty β€” Target Easy, Medium, or Hard questions based on your assignment go.

  • Filter by Usage Status β€” Find unused questions or include previously used ones.

  • Attach Documents β€” Upload course materials (PDFs, Word docs, PowerPoints) to find curriculum-aligned questions.

  • Live Search Summary β€” See a plain-language preview of what TAI will search for before clicking Search.

Create Assignment from Pool(s)

To create an assignment from questions in a pool or from questions in multiple pools, perform the following steps.

  1. From the β€˜Manage Assignments’ page, click the β€˜Create Assignment’ button. The β€˜Build Your Question Set’ modal is displayed.

  1. To add questions from a pool, click the β€˜+’ sign and click the β€˜Select from pools’ option. A sub-menu is displayed.

  1. Select the desired pool(s). When multiple pools are selected, the first pool is displayed followed by a β€˜β€¦+X’ indicator.

  1. Add any additional criteria, then click the round, orange button to perform the search from questions in the selected pools.

  2. Proceed through the rest of the assignment builder steps to build your assignment.

Create Assignment using Bank Filters

Assignments can now be created from specific question banks by selecting filters. A combination of bank filters can be selected.

Create Assignment using Question Filters

Assignments can now be created from questions of specific difficulty and/or status. A combination of difficulty and statuses can be selected.
